KGM Engineering (“we,” “our,” or “us”) respects your privacy and is committed to protecting personal data you share with us through KGM Mail (“the App”). This Privacy Policy explains how KGM Mail interacts with third-party ("Google Drive and Microsoft Outlook") services and how your information is handled within these interactions.
The App does not collect personal information directly from you or store any data on external servers. All interactions occur between your device and the third-party services that you choose to connect. When you link a third-party service account, you authorize the App to perform limited actions on your behalf as described below.
To operate as intended, the App may process the following types of data locally on your device or through your linked Google or Microsoft accounts:
Summary of data categories: The App processes media files (photos and audio), authentication information, and basic usage activity data locally on your device. No sensitive, financial, or location data is collected.
No analytics, advertising, or location data is collected. The App does not transmit personal information to KGM Engineering or any third party except as explicitly described in this Policy.
The App allows you, the user, to take photos and record voice messages (upload files). A Google Account may be linked to the App through a settings page using a Google Application Programming Interface (API) service. Upload files can then be uploaded to a folder in a Google Drive of the Google Account which you have linked to the App. You may choose the name of the folder. If the folder does not exist, the App will create the folder in the Google Drive. If the folder already exists, the App will access and upload the upload files to the folder in the Google Drive. If the folder already contains a previous file with the same name as a file you wish to upload, the file you wish to upload will not be uploaded to the folder in the Google Drive to protect the previous file.
After uploading all the upload files, the App will automatically share the folder only with a KGM Engineering Google Account. The KGM Engineering Google Account is used solely by us to review all the upload files. No other accounts or parties are given access to the folder by the App.
The App does not modify or delete any files in the Google Drive. Its only function is to upload new files to a user specified folder and adjust sharing permissions for the user specified folder to grant access to the KGM Engineering Google Account.
The App integrates with Microsoft Outlook using a Microsoft Authentication Library (MSAL). MSAL allows you to sign in to an Outlook Account to send upload files (photos and/or voice messages) via Outlook email directly from the App.
Once connected to the Outlook Account, the App may:
The App does not read incoming emails, access your contacts, view your inbox, or interact with any other Outlook data. All actions occur through Microsoft’s secure API and are governed by Microsoft’s own service terms and privacy policy.

Uploaded files (photos and/or voice messages) to a Google Drive remain stored within a Google Account you link to the App protected under Google security. An Outlook email draft created through the App will remain within a Microsoft Account you link to the App under Microsoft security. The App does not transfer, sell, or otherwise distribute any data outside of the Google Account or the Microsoft Account.
KGM Engineering accesses Google Drive content only through a shared folder associated with a KGM Engineering Google Account. No third parties are granted access to your files or email data unless you explicitly authorize such access.
Since all uploads and emails are handled through a Google Account or a Microsoft Account which you link to the App, you maintain full ownership and control over your content. You may revoke access, delete files, or remove email drafts at any time directly through the Google Account or the Microsoft Account.
The App does not modify or delete any files in a Google Drive of a Google Account you linked through the App. The App does not modify or delete any email drafts in an Outlook Account of a Microsoft Account you linked through the App, except for deleting or modifying drafts that you created through the App.
Your use of Google or Microsoft accounts with the App is voluntary and governed by their respective privacy policies. By linking your account and using these integrations, you provide informed consent for the App to temporarily access and process the necessary data strictly as described in this Privacy Policy.
The App is intended for professional use by KGM Engineering clients and is not directed toward children under 16 years of age.
The App’s use of Google Drive is compliant with the Google API Services User Data Policy, including the Limited Use requirements.
The App’s use of Microsoft Outlook is compliant with Microsoft API terms and data protection policies.
We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. Any updates will be posted on this page with an updated effective date. The date of the most recent update will always be indicated at the top of this page.
This Privacy Policy shall be governed and interpreted in accordance with the laws of Ontario, Canada, without regard to its conflict of law provisions. Any disputes arising from or relating to this Privacy Policy or your use of the App shall be resolved in the courts of Ontario, Canada.
